Loan Documentation Specialist
Reports to Loan Operations Manager

Principal Responsibilities and Duties:
Manage loan documentation program for consumer loans, mortgages, and participations. Maintain files and related reports. Assist in the loan documentation review of loan files. Assist with monitoring internal auditing functions and coordinating internal auditing reviews of loan department. Maintain and update information on the system and in the files. Process payments and related items. Provide customer service to loan customers.

Primary Duties and Responsibilities:

  • Book loan information on system for consumer and mortgage loans.
  • Set-up all loan files including consumer, mortgage and participations loans.
  • Book and manage consumer, mortgage and commercial loan participations.
  • Escrow payments and disbursements for insurance bills, including debiting loan system for premium due and sending cashier’s check to Agent.
  • Process Private Mortgage Insurance (PMI) disbursements
  • Maintain and process loan ticklers for Auto Insurance and Homeowner’s Insurance renewals and cancellations; Final Title Policies and recorded documents (mortgage, assignment of leases and rents, and satisfactions). Overall monitoring and resolution of tickler items related to consumer and mortgage loans and participations.
  • Process loan satisfactions and collateral releases for consumer loans, mortgages and participation loans.
  • Process closing document request for consumer loans, mortgages and participations.
  • Retrieve and process information on Non-Post and Non-Sufficient Funds Reports for loan payments for consumer loans, mortgages, and participations loans.
  • Understanding and processing of Daily Reports and General Ledger Reconciliation for Loan Department.
  • Process and/or distribute department in-coming mail to appropriate staff
  • Mail monthly loan statements for consumer, mortgages and participation, and commercial loans.
  • Review consumer and mortgage files for checklist pre and post closing. Manage student loan portfolio as backup.
  • Participate in the internal auditing processes for the Loan Operation Department.
  • Provide prompt and efficient response to customer inquiries regarding loan payments and balances.
  • Process Pay Off Statement Request. Notify the Lender of the payoff request.
  • Perform other duties and functions as assigned.

Qualifications:

  • At least 2 years post secondary education with a minimum of a minimum of two classes or equivalent experience in accounting.
  • Computer experience with working knowledge of Microsoft Windows, and Excel.
  • Effective written/verbal communication skills; and ability to deal with customers and communicate effectively.
  • Proficient clerical and typing skills.
  • Knowledge and/or awareness of various loan documents.
  • Ability to organize, prioritize and efficiently manage the responsibilities of the position in order to focus on quality customer service as well as to ensure the bank’s collateral position through proper documentation maintenance.
  • Ability to work well with others in a professional manner.
  • Ability to meet or exceed sales referral goals or measurements.
